FEATURE TUTORIAL - Distribution Screens Explained

There are many new screens that accompany the distibutions group feature. This document will explain the different areas of each screen.

 
Distribution Group Screens

Screen 1: Distribution groups settings screen:

Distribution Group Name: What you want this distribution to be called.
Distribution Type: How you want to split your list. You can split it by percentage or by a set number of users in each group.
Filter: Allows you to apply a filter to this distribution. Once you select a filter, the screen will refresh and show the number of records currently in the filter as well as the last filter generation date. If the filter has not been generated recently, you may regenerate it by using the regenerate link next to the filter dropdown.

Group Settings

Screen 2: Main Distribution Page (Lists out distribution groups)

Displaying: Allows you to filter by month which distributions you would like to show.
Name Column: Name of the Distribution.
Filter Column: Shows if there is a filter applied to the distribution.
State: Shows which state the distribution is in. The states are as follows:

New:
Nothing has been done with this distribution group yet.
In progress:
At least one message has been sent from the distribution group.
Pre-Int:
Marked for initialization (first message has been scheduled).
Waiting for recipient list:
Waiting to have DG recipient list generated/copied.
Processing recipient list:
Generating filter or copying mailing list.
Initialized:
Recipient list is generated, waiting for message to be scheduled.
Waiting for distribution:
Waiting for distributions to be calculated.
Processing distribution:
Assigning recipients to specific messages.
Ready:
Sending, or waiting for another message to be scheduled.
Complete:
100% of results have been sent. No further action is possible.

Last Modified: Shows when the group was last modified. Modified is defined as adding or modifying a message in the group or modifying the group settings.
Actions: Shows the actions that can be used on each group. Actions are as follows:

Edit:
Allows you back in the distribution group to add, edit, test, schedule messages. It also allows you into the group to edit the group settings.
Copy:
Creates a verbatim copy of the groups.
Delete:
Allows you to delete the groups. NOTE: Once you've scheduled/sent a message from that group, you cannot delete the group. Once you've sent a message from that group, you'll no longer have the ability to delete it.

Note: Name, Filter, State, and Last Modify columns are sortable. Click on the column name to sort it. Click it again to sort it the other direction.

Screen 3: Distribution Messages Page

Distribution Group Section:

Filter Applied:
Tells you if you chose to apply a filter to this distribution.
Distribution Type:
Tells you what type of distribution you selected (Percentage or whole number).
Distribution Group State:

The state of your distribution. States are as follows:

New:
Nothing has been done with this distribution group yet.
In progress:
At least one message has been sent from the distribution group.
Pre-Int:
Marked for initialization (first message has been scheduled).
Waiting for recipient list:
Waiting to have DG recipient list generated/copied.
Processing recipient list:
Generating filter or copying mailing list.
Initialized:
Recipient list is generated, waiting for message to be scheduled.
Waiting for distribution:
Waiting for distributions to be calculated.
Processing distribution:
Assigning recipients to specific messages.
Ready:
Sending, or waiting for another message to be scheduled.
Complete:
100% of results have been sent. No further action is possible..
Status in Distribution Group:

Emails Available: How many emails were in your list (or filter) at the time the distribution was created.
Emails Allocated: Number of emails that have been sent to from this group.
Emails Remaining: Number of emails left to send to.

Messages Section:

Check boxes to the left of the message subjects:
These checkboxes allow you to select more than one message to test, proof, or schedule at one time. Just check the boxes of the message you want to perform this task on and follow the arrow to the buttons.
Message Subject:
Previews the message.
Distribution column:
What part of your list will be going to each message.
Status:
What state the message is in (waiting to be scheduled, scheduled, sent).
Action:
Similar to the actions on the regular message page.

 

Page 4 : QuickTest Schedule Page

The quick test schedule page is the same, with the addition of the distribution group at the bottom of the page. It shows you the messages that it is sending as well as the number of messages available from that group to send.
